We share knowledge from the research sector to the public to improve the quality of public debate and to promote the use of evidence in policy making in Indonesia and the region. We support Indonesia’s research sector to increase its capacity and impact. Founded in 2017, we are part of a global network spread across five continents that provides a new journalism model, a unique collaboration between academics and journalists sustained through partnerships with the higher education and research sector, private philanthropy, governments, corporations and support from readers. Reporting to the CEO/Publisher, the Director of Finance and Operations has primary responsibility for ensuring the effective and efficient financial, administrative, and operational functions of The Conversation Indonesia. The director will play a critical role as a member of TCID’s management team in strategic decision-making and operations as TCID continues to enhance its quality publishing and programming and build capacity. The director leads, develops, and supervises an internal financial, human resources, and operations team to support the following areas: finance, business planning and budgeting, administration and human resources management, security and IT. Principal Duties and Responsibilities FINANCIAL MANAGEMENT Reporting: Work closely with the Finance and Accounting Manager to prepare and provide monthly, quarterly, and year-end financials in an accurate and timely manner. Provides quarterly analyses of the financial situation of the organization (including annual forecasting, multi-year modelling, liquidity analysis and management level narratives) for meetings with the Governing Board, Supervisory Board and Executive Board. Grants: Prepares financial reporting material for all donors; ensures, in close cooperation with relevant directors that resources are allocated in full compliance with stated donor intentions; and oversees all financial, program, and grant accounting and reporting, including periodic updates on budget variance and preparation of budget modification documents. Accounting & Finance: Work closely with the Finance and Accounting Manager to ensure that the accounting is in accordance with non-profit accounting principles and standards; ensures staff follow established procedures; and updates the accounting and policy manuals as needed; ensures completeness and accuracy of all financial records and transactions; keeps current on new accounting principles to ensure timely compliance and implementation. Budget: Leads the Finance and Operations team on the annual budgeting exercise and planning process in conjunction with the CEO and Management Team in order to have the budget completed and presented to and approved by the Governing Board in a timely manner and with due support and analysis. Once approved by the Board, monitors the execution and recommends adjustments. Cash flow & forecasting: In conjunction with the Finance and Accounting Manager, manages organizational cash flows and forecasting. Internal financial control: Maintains appropriate financial and operational controls; if lacking, institutes controls, according to audit findings and overall best practices, including timely policy updates, establishing review procedures and implementing periodic reporting on control/risk assessment matters Tax compliance and filing: Ensures the timely submission of tax filings. Payroll: Oversees Finance and Accounting Manager to ensure accurate processing of payroll according to rules and regulations. Audit: Coordinates and leads the annual audit and tax preparations and filings; liaises with external auditors, tax accountants, and the Board of Directors to ensure timely reviews and submissions of filings. Responsible for quarterly Board and Committee reporting on Finance, Operations, Investments, HR and risk management. ADMINISTRATION AND OPERATIONS Human Resources: The Director oversees the overall HR function. This includes recruitment of new staff; maintenance of appropriate records; HR audits; development and maintenance of evaluation processes; advising on salary scales, merit raises, and cost of living increases; also working with management to ensure compliance with policies and labor law in the event of any disciplinary actions; the Department of Finance and Operations office also provides orientation for new employees, builds and nurtures TCID organizational values and culture among staff, and manages professional development and training needs of staff. The Director also maintains awareness of employee well-being and morale and recommends appropriate management response. The Director ensures the continuity TCID’s efforts towards improved diversity, equity and inclusion. Policies and Procedures: Conducts annual review of policies and procedures for organization and staff; ensures that all staff, consultants, and volunteers are informed of procedures and are in compliance with them. Contracts: Oversees a robust contracts management and financial management/reporting system; ensures that the contract billing and collection schedule is adhered to. Legal: In close collaboration with the CEO, works to ensure that organization is in compliance with rules and regulations governing the operations of the organization and protected from legal liability. Conducts staff training as needed. Office Space and Systems: Ensure that IT, operational systems, and all other office procedures support the effective operations of the organization. Serves as the primary point of contact for all issues relating to the office. Qualifications Minimum of a BA, ideally with an MBA/CPA or related degree At least 10 years of overall professional experience in finance and administration and five years in human resources management The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has overseen a human resources function previously Ability to translate financial concepts to – and effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds A track record in grants management Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software, in particular Oracle Netsuite Commitment to training programs that maximize individual and organization goals across the organization including best practices in human resources activities A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making Excellent communication and relationship-building skills with an ability to prioritize, negotiate and work with a variety of internal and external stakeholders A multi-tasker with the ability to wear many hats in a fast-paced environment Personal qualities of integrity, credibility, and dedication to the mission of The Conversation Indonesia This vacancy is open for Indonesian nationals.
