Opening a folder
Folder represents a group of messages that may be viewed, printed, replied. Also, a new messages may be created within the folder. When entering the main menu of UMT, you see a list of folders on the screen. Beneath the name of a folder, there is a total number of messages in it shown. There are two default folders in the list of folders: Incoming Folder (the folder for new received messages) and Outgoing Folder (the folder for sent messages); these folders are ever in the list and cannot be deleted or renamed. Other ones may be created, deleted, and renamed as you wish. To open a folder in order to look through the messages in it:
- select the folder (one mouse click when the marker is on the folder field); and select menu Folder -> Open Folder option; OR
- double click on the folder field.

Creating a new folder
 















This procedure makes it quick and comfortable to sort and store your messages. By default, all incoming messages are first put into the Incoming folder. Like this, all the messages you send are automatically stored in the Outgoing folder.
But, if you need, for instance, to look through all your correspondence with Mr X, you may face it reasonable to use a special folder for the person. Of course, you may use Incoming folder, and sort all the messages in it with respect of authors name, and then do the same for Outgoing folder... but it is not the best way UMT provides. In this case, it is more wise to create a new folder in order to store the correspondence with Mr X.
To do this, use Create Folder option in the menu. A special creation window appears on the screen. In the string Name put a smart name for the new folder. It is reasonable for this name to be easy to understand or easy to use for you.
If you would like to make the folder look unlike others, you may change the icon that is shown near any folders name. To do this, set the path to the file that stores the desirable picture. Browse option is useful while the process, since you may activate search for the file to be used. You may attach any TIFF file to the newly created folder.
While you are in the process of the folder creation, you may change its name and the icon as many times as you want, but, after the settings are done and you press OK, you may change these settings only using Rename Folder option in the menu.
 

Renaming a folder
 
If you would like to change the name of a folder, or the icon that corresponds to it, use Rename Folder option. After you have chosen this option, a special window appears on the screen. Put a new name in the line Name, and/or a new file name in the string Icon (use Browse button to find the graphic file needed). For the icon, use TIFF file of size 48 x 32 pixels.

Deleting a folder

You may delete any folder except Incoming and Outgoing folders. The latest two folders cannot be removed, but you may delete or move messages in these folders in the same manner as in others. If you want to delete all the messages that are stored in a folder, enter the folder, select all the messages (Mark All option) and use Delete Marked option. When exiting the folder, all the deleted messages are automatically removed from the folder. Also, you may initiate the process using Update option.
To remove a folder, use Delete Folder option. After the option is chosen, a dialog confirmation window appears on the screen. You have to confirm or deny the deletion (OK or Cancel correspondingly).
If you deleted a folder, all the messages in it are also deleted.

How to receive the new mail
To receive new messages, select Check For New Mail option in the main menu. If your mail comes onto a distant server, the procedure of retrieving the new messages may take some time. After the process is finished, you may look through the new messages entering Incoming folder, except of messages from recipients that are automatically rerouted to the corresponding folders. In the last case, you have to enter the folders that were set for rerouting of messages.
When you open a folder, you see the list of messages. Each message is marked with the letter that shows its type:
U - new, unread message;
R - old, already read message;
D - message to be deleted.
You may view any message using double click on its name.

Address book
To look through or add a new recipients address, use the address book. It stores e-mail addresses that were input automatically or manually.
For access to the address book, use Addr Book option in Actions part of the main menu. For more details see Address book.

Creating a message
You may create a new message without opening a folder. Use Actions->New Message option. For more details see How to create a message

Import
If you have previously used another electronic mail managing program, you may import your old folders from that application into UMT. To do this, select a folder in UMT (or create a new folder), and then being in the folder select Import option. After this, the window for file selecting appears on the screen...

Quit
To quit the session of UMT, use File->Quit option.

List of messages mode description
 
While in the mode, you may view all the messages that are being currently stored in the opened folder. In the mode, a message is represented by a string, that may consist of:
From field (that shows the sender);
To field (shows the receiver);
Date field (the date the message was sent)
Subj (the subject of the message)
Not all the fields may be present; you may set the set of fields to be shown using UMT Configuration and Setup module. If you selected a message, in the top window there are the name of the folder this message is stored in; its count number in the folder according to the current type of sorting; its state (unread, read, to be deleted). The state is also shown by the leftmost icon near the message: U, R, or D correspondingly. You may view any message using double click on its name. If the message was new, it becomes read after you exit the messages body. But, if you want to leave it marked as unread (for instance, to not forget to reread or to answer it in future), you may change the state of the message using clicks on the state icon. Each click by the left mouse button makes the state indicator to switch Read/Unread state; the right mouse button click marks the message with D that means to be deleted. All the messages marked with D are automatically deleted when you exit the folder. Also, you may delete then manually, while you are still in the folder; to do this, select Folder->Update option.
In the top right-hand corner of the screen you may see the photo of the author, if it was supplied; otherwise, UMT icon appears in the position.
Double click on the name of a message leads you to viewing mode for the message.

Marking messages
To mark a message you have to click left mouse button on its name. You have already marked several messages, press Ctrl key on the keyboard while clicking the left mouse button. Otherwise, only one message remains marked, so that, if you did not use Ctrl key, all the previous marks will be removed. To quickly select all the messages in the folder, use Message->Mark All option. To remove all the marks, use Message->Unmark All option.

Printing a message
To print messages mark all the messages you would like to print, then use Message->Print Marked option.

Deleting a message
To delete one or more messages when you are within a folder, mark all the message you want to delete and select Message->Delete Marked option. After this, all these messages will be marked with D state (to be deleted). They will be deleted after leaving the folder.
If you are in viewing mode, use Delete option to delete the message being viewed. After this, the message will become marked with D state when you return to the folder.
The shown to be deleted state of a message does not mean that the message is already deleted. The D-marked messages are deleted only after you close the folder.

Copying or Moving a message
If you consider a message to be more appropriate in another folder, you may move the message or several messages. Mark the messages you want to move, then use Message->Copy Marked option (this command copies the messages into another folder) or Message->Move Marked (the command moves the messages into another folder).

Adding addresses to the address book
To add a new address that is shown in a message, into the address book, mark the message and use Add Marked to Addr Book option. After this, all the new addresses from the marked messages will be added to the list of addresses, and:
- the login name will be saved as a nickname;
- the address from the message will be inserted to the field Address;
- the name of the author will be put into Names field;
- the name of the company the message was sent from will be put into the field Company (of course, if the information exists).

Sorting messages within a folder
There are the following features you may sort messages with respect to:
- by date of received/sent message;
- by subject;
- by authors name;
- by address;
- by size of messages
Moreover, any type of sorting may be used as reversed if you select Reverse Order option. For instance, if you set sorting by size in the reverse order, the smaller messages will follow the larger ones.

Address Book
While in the mode, you may also look through the address book in order to view existing or add new addresses in it. To do this use Actions->Addr Book. For more details see Address Book.

Creating new message
While in the viewing mode, you may create new messages. Use Message->New. See also Creating new message.

Exit
To exit the folder use Folder->Close option.

The viewing mode
 
Opening any message in the folder leads you to the viewing mode for the message. Message consists of the header, the body itself, and the list of files attached.
In the upper string of the window, there is the total size of the message shown.
The header of message may include the following strings:
To (the destination address);
 (the address for automatic copying of the message);
Subj (the subject of the message).
Attachments string shows the number of files attached, if there are any. The full list of attachments is shown below.
The string that describes an attached file, consists of the count number of the attachment; the icon that shows the type of the file (graphic, sound, text, etc.); the type and the name of the file.
To save an attachment onto your hard disk, click the right mouse button on it; after this, the dialog window for selecting file on the disk appears on the screen.
To view the next or the previous message, you have no exit the current one. Use Next or Previous buttons at the bottom line.

How to view a file attached
If there is an attachment supplied with the message, use double click onto the name of the attachment in the list to view it. UMT selects the viewer according to the extension of the file attached and to the type of attachment. So that, if the file is in GIF format, it runs the viewer designed for this type of graphics.

Creating a new message
If you would like to create a new message while viewing another one, you have a choice: to create a fully blank new message; to create a reply onto the viewed message with the address of receiver automatically inserted; or to create the new message with quoting the message being currently viewed.
Correspondingly to your intentions, use Compose, Reply, or Reply with Quoting options. See also Creating a message.

Address Book
In the viewing mode, you have a quick access to the address book. Use it to fill the address filed in a new message, or to add the address from the message being viewed into the address book.

Deleting a message
If you are in the viewing mode, you may use Message->Delete option in the bottom line. After this, the message becomes marked as to be deleted, and it will be removed after you close the folder.

Printing a message
The message being viewed may be quickly printed using Message->Print option.

Exit
To exit the viewing mode, use Close button in the bottom line. Also, you may use Message->Close option in the upper menu. After this, you find yourself in the list of messages screen (open folder).

If you merely want to create a new message, you may not choose a folder. The opportunity to create a blank message exists while you are in the main menu. Select New Message option. After this, the editor will run using which you may type a text, or insert an existing text into the body of the message, or just attach a file.
While viewing a message, you also may create a new one. Use Message->New option.

If you would like to create a new message while viewing another one, you meet a choice: to compose new message, to reply the message you are viewing with automatically inserted destination address, or to reply with quoting the message being currently viewed.
Any message has to include the address (you may select it in the address book, or merely type in the field), and the body itself. The body consists of the typed or inserted text.

Creating a blank message
If you have chosen Compose option, you create a blank message. After this button is pressed, the edit window appears on the screen.

How to insert the address for the message
In the upper strings, you have to insert addresses for your new message:
To - the main destination address,
 - the auxiliary destinations; the message will be copied to these;
while this, the main destination recipient receives the information that the copies of the message exist;
BCC - the auxiliary destinations; the message will be copied to these, but without informing other recipients;
Subj - the subject of your message.
The addresses may be merely typed in the proper fields. When you use Reply or Reply with Quoting options, the main destination address is inserted in the message header automatically. Also, you may use the address book to quickly insert addresses in the header. To do this, click the button Addr Book. After this, the address book is opened. In it, select the necessary address and click the button that corresponds to the field you want the address to be put into. For example, if you want the selected address to be put into the To field of the message being edited, press To button. The same is true for CC: and BCC: fields. If you want several addresses to be put into CC or BCC field, they will be separated with comma. It is possible to use nicknames when inserting addresses from the address book, if before you make such nicknames for your recipients. For more details see Address Book.

Editing the body of the message
To edit the text in the body of the message, select Edit option in the upper menu. After this, the editor runs.
Using the editor, you may type the text in the body; if the text already exists on your hard disk, you may put it in the body without changing the file name. When you finished composing the message body text exit the editor. The text, either typed or attached, will appear in the screen, near the icon that indicates the message body. If you want to send a binary or textual or packed file, it is reasonable to attach it to the message instead of put it in the body of the message.

Attaching files

To attach a file to your message, use Attach File option in the menu. In the string Filename, you have to put the path to the file to be attached. If you do not remember exactly the path, use Browse button. After this, the window appears for selecting file onto your hard disk. Clicking onto directories names you may enter and exit them, until you find the desired file. Select the found file and click Open button in the window. It causes the selection window to close and the path to the file to appear automatically in the Filename field. If you could not find the file, press Cancel to quit the search.
In the Type field you have to indicate the type of your file: textual, graphic, etc. There are some subtypes available in the field, and it is desirable to define them, too.
Encoding window allows you to select the type of coding that fits you and your recipient. Automatically, UMT shows the more appropriate type of file coding. But, if you prefer another one, you may change the automatic setting. It may happen, for example, if your recipients mail reader does not support MIMI1.0 protocol, or in other cases. The most generally used coding type is UUENCODE.
When you are sure you set all the settings necessary click OK; if you decide to break the attaching, click Cancel. If you faced any problem while the process, use Help.

Replying a message
If you want to answer a message, use Reply option. After this, the usual edit window appears, but the recipients address is automatically inserted in the address field.

Replying a message with quoting
If you want to reply a message putting some quotations of your recipient from his message, select Reply with Quoting option.
In the e-mail correspondence, quoting means the text of the authors message each line in which is marked with a special symbol: >, :, etc. This symbol appears every time someone quotes the received message. If a string was already quoted, it will be marked with >>, >>>, etc. The number of symbols indicates the deep of quotations.
In Configuration you may choose the type of quotation. For instance, you use firsts letters of recipients name, so for John Smith it will look like JS> Hello !.

After you save the created message and exit the editor, press Send button to send the message or choose Message->Send option in the menu.

The address book represents the list of electronic mail addresses. In viewing mode, you see the list of recipients in the form nickname - full name, but while editing messages and creating a new address they look little different.

 

New Entry field is designed to create a new address with a brief comfortable name, that will be put in the list of addresses after is created. In Alias field, put the nickname for the recipient. In future, when sending a message, you may just put the nickname of the recipient. The full address for the recipient will be inserted by UMT automatically when it sends the message. The program inserts the name in To, CC, or BCC field, according to where the nickname was put. 
Like this, in Name field, put the full name of the recipient, and in Company field -- the name of the company. This information is arbitrary, so if it exists it will be also automatically included in the message, but if not it is not necessary.
Depending of the network, e-mail addresses may differ in their structure and appearance, but they may be converted in the other forms. The switch Address Type allows a recipient to have different form for different networks. When you put an address for a recipient, you have to indicate for which network it is designed. For other networks, the address will be changed automatically by UMT.
When you finished to form the new address, click OK to confirm changes or Cancel to deny them.

Editing addresses
If you need to change a recipients address that was already stored in your address book, select Edit command and type the new data.

Deleting addresses
To delete an address mark the corresponding string of the address to be removed, and press Delete button.

Creating a new message for the selected address
To create a new message for the address in your address book, mark the corresponding string in the address book, use Actions->Mail option. After this the edit window will appear with the address automatically put in the header.

Inserting new addresses from the marked messages
To insert addresses from received messages, mark the necessary messages in the list, and then open the address book. In it, press ? command. To save changes, use File->Save option in the menu. New addresses will be automatically stored in the address book.

Inserting addresses from the address book
When creating a message, you may use data from your address book to insert them into the following fields of the message header:
To - the destination address;
 - the addresses to send a copy of the message;
BCC - the addresses to send a copy without the other recipients knowing this.
To use the information stored in the address book, open it using AddrBook command, select the desirable address, and press the button that corresponds to the headers field you want to put the recipient in.
When inserted, the recipient name is shown to you in the same manner it is stored in the address book, i.e. in brief name - full name form. But, at the moment the message is sent, this data are substituted in the conventional form: full name, full e-mail address, company name, etc.
You may put several addresses into a field. In the case, they are separated by comma.

Inserting addresses using nicknames
You may insert a address as the recipients nickname if the last exists in the address book. To do this, type the nickname in To, CC, or BCC field and double click the left mouse button on it. After this, the nickname will be substitute by brief name - full name string (see above).
