II. ACADEMIC REGISTRY (AR) The Academic Registry is structured into six main sections and the major functions of these Sections are as follows: 1. The Academic Affairs Section (AAS) is responsible for providing administrative support to the Senate and its standing committees; publishing the University Calendar/Bulletin and Academic Calendar; organizing Convocation and Commencement ceremonies; liaising with overseas universities on academic exchange programmes; and providing administrative support to Teaching Evaluation. 2. The Academic Quality Support Section (AQSS) is responsible for developing policies, procedures and good practices in the University's academic quality assurance system; organizing course accreditation/re-accreditation review exercises; liaising with Faculties/Schools and Departments to monitor and develop quality systems and quality assurance arrangements to enhance the delivery of courses; ensuring that the external examiners system in providing feedback on the management, delivery and assessment of courses is effective; and promoting academic quality and a quality culture in the University. 3. The Admissions Section (AS) is responsible for reviewing and developing policies and procedures for the admission of undergraduate students; providing up-to-date admissions information to potential applicants and maintain the Admissions Hotline; co-ordinating the admissions process with JUPAS; publishing the Undergraduate Prospectus; and liaising with local secondary schools and organizing activities, education exhibitions, campus visits and school talks to promote undergraduate courses. 4. The Research & Postgraduate Studies Section (RPGS) Section is responsible for providing administrative support to the Postgraduate Studies Committee on reviewing and developing policies and procedures for the admission of postgraduate students; providing up-to-date admissions information to potential applicants; providing registration and student record services for taught and research postgraduate students; scheduling classes for taught postgraduate courses; providing administrative support for the conduct of examinations; assessing graduation applications of taught postgraduate students; issuing diplomas, certificates, transcripts of study, testimonials and student cards for postgraduate students; providing administrative support to the Research Committee on processing applications for research grants managed by the Committee; and publishing the Postgraduate Prospectus, Annual Report on Research Activities, and Annual Research Report. 5. The Registration Section (RS) is responsible for providing registration and student record services for undergraduate students; monitoring student academic records and maintaining the central student record system; processing applications for transfer of units; scheduling classes for undergraduate courses; providing administrative support for the conduct of semester examinations; assessing graduation applications of undergraduate students; issuing diplomas, certificates, transcripts of study, testimonials and student ID cards for undergraduate students; and handling student enquiries and complaints on academic matters. 6. The Scholarship and Financial Aid Section (SFAS) responsible for providing assistance to student applicants of the Government Grant/Loan (Local Student Finance Scheme) and Student Travel Subsidy; liaising with the Student Financial Assistance Agency (SFAA) on Government Grant/Loan applications; administering bursaries and loans for needy students; providing administrative support to the award of scholarships and prizes according to the criteria set by donors and the academic achievement of outstanding students; administering the emergency funds designated to students who have serious and immediate financial needs caused by unexpected events such as illness, accident or death of the breadwinner in the students’ family; and organizing the Scholarship Presentation Ceremony and Scholarship and Financial Aid Donors’ Tea Reception. .
